E-Procurement

eProcurement is the term used to describe the use of electronic methods in every stage of the purchasing process from identification of requirement through to payment, and potentially to contract management. Purchases under eProcurement directive are made using a Government Procurement Card (GPC).

The Government Procurement Card (GPC) is a branded VISA Purchasing Card, introduced in 1997. It is provided to the entire UK public sector at no cost through a framework agreement between OGC buying.solutions, VISA and seven VISA-Issuing Banks. It provides:

Typical current purchase order procedure:

  • You contact us for a price.
  • You raise a requisition and send it to be authorised.
  • Authoriser checks budget and approves the order.
  • The order is printed and posted or faxed to us.
  • We receive the order and input the details onto our system.
  • You receive the goods and input the goods received details.
  • We create and post out a paper invoice.
  • You register the invoice and match it to the goods received.
  • You authorise the invoice.
  • Financial services generate a cheque, which is posted to us
  • We receive the payment and enter the cheque details into our system. The cheque is sent to the bank and both of us reconcile bank statements and accounting entries.

Procedure using - E-Orders:

  • You log on to the Internet and look at our web catalogue at http://shopping.mackenziecoms.co.uk
  • The desired products are selected and the order sent electronically using the government procurement card (GPC).
  • We receive the order via e-mail.
  • We automatically import the order into our system.
  • You receive the goods and input the goods received details.
  • The invoice is received electronically and is imported into your system
  • You authorise the invoice and the payment is made via BACS.
